How to choose a school management system: a practical checklist

Choosing a school management system is a decision you will live with for years. The right system removes hours of repetitive work every week; the wrong one creates a new set of spreadsheets to maintain around it. This checklist is designed to help school owners, principals and bursars compare options on the things that matter in daily operation.
1. Does it cover the whole school — or just one office?
Many systems start as a result calculator or a fee tracker. Ask whether academics, fees, accounting, HR, attendance and parent communication share one student record. If they do not, someone will be re-typing data between them.
2. Does it match how you assess?
Check that you can configure your own continuous assessment components and weightings, exams, grading bands and remarks — and that it supports mid-term and full-term reports if you use both.
3. Can it produce your broadsheets and report cards?
Ask to see a real broadsheet and report card generated from sample data. Look for totals, averages, positions, class high and low, and space for teacher and principal remarks.
4. How are fees set up and recorded?
Fee items should be configurable per class and section, with discounts, levies and transport fees. Every payment should be recorded against a student and a fee item, with collections visible in real time.
5. Is there real accounting behind the fees?
A chart of accounts, revenue and expenditure, budgets, vendors and financial statements turn fee tracking into proper financial management.
6. What do parents see?
A guardian portal should show each child’s results, attendance and fees — with one login for families with several children, and strict limits so guardians only see their own children.
7. How is attendance recorded?
Ask how the system knows a staff member or student was actually present. Time-stamped clock-in with photo and location checks is far more reliable than a register filled in later.
8. Does it support CBT properly?
If you run computer-based tests, look for question banks, test vetting before release, secure full-screen delivery and a simple way to move scores into continuous assessment.
9. Can every role have its own workspace?
Directors, bursars, HR, teachers, students and parents need different things. Role-based portals keep screens simple and data access appropriate.
10. How is your data protected?
Ask whether your school’s data is isolated from other schools, how passwords are stored, whether sign-in attempts are rate-limited and whether actions are logged.
11. Will it grow with you?
If you have, or plan to have, several sections or campuses, check that each can carry its own branding and that directors can see across them.
12. What does getting started look like?
Ask how your sessions, classes, subjects, students and fee schedules will be set up, who will train your staff, and what support is available once you are live.
